Notes and marketing consent

Add private notes to a contact and record whether they agreed to marketing email, with a history of every decision.

Updated . 2 min read.

Both live on a contact's page, in the column on the right. Open Contacts and click a name.

Notes

Notes are your team's private context about a person. They are never shown to the contact.

  1. Type in the box labelled Add a note about this person.
  2. Choose Add note.

Each note shows who wrote it and when. A note can be up to 4,000 characters.

To remove a note, choose Delete on it and confirm. Only the author, or someone who is allowed to delete contacts, can do this. Deleting runs in the background, so the note may stay visible for a moment.

Marketing consent

The consent card shows where the person stands now:

Label Meaning
Consented They agreed to marketing email.
Withdrawn They withdrew consent.
No decision on file Nothing has been recorded.

Formspring does not ask the person here. You record what they told you, and it keeps a history of each decision. Automations that send marketing email skip a person until consent is recorded.

Record a decision

  1. On the consent card, choose Record a decision.
  2. Pick the Decision: Agreed to marketing emails or Withdrew consent.
  3. Pick Where it came from: Told to us directly, A form they filled in, An import, or An unsubscribe request.
  4. Add an optional Note (up to 255 characters), then choose Save.

The history lists every decision with who recorded it, when, and the source. Decisions made through the API or carried over by a merge appear there too.
